Last updated and effective date: September 14, 2026
Platform operator: Canlink (hereinafter referred to as “the Platform”, “we”, or “us”)

Canlink (b2bcanlink.com) understands the importance of personal and business information to you. We are committed to protecting the privacy and data security of all manufacturers/wholesalers who use the System (hereinafter referred to as “Manufacturers”) and invited buyers/retailers who connect to the System (hereinafter referred to as “Merchants”).

This Privacy Policy explains how we collect, use, store, protect, and process your personal and business data. By accessing, registering for, or using the b2bCanlink Platform, you agree to the data-processing practices described in this Privacy Policy.

1. Types of Information We Collect

To provide B2B ordering and channel-management services, we may collect the following types of information:

1.1 Account and Identity Information:

  • Manufacturer and Merchant information: company/store name, business registration number (SSM/Tax ID), contact person name, email address, phone number, business address, and similar details.
  • Login credentials: username and encrypted password.

1.2 Business and Transaction Data:

  • Product catalogues (Product Catalogue), pricing rules (Customer Pricing), product images, and related attachments uploaded by Manufacturers.
  • Order details (Orders), invoice records (Invoice), and transaction history generated by Manufacturers and Merchants within the System.

1.3 Technical and Device Data:

  • When you visit or use the System, it may automatically collect your IP address, browser type, operating system, access time, and Cookie data to maintain login sessions and protect system security.

2. Purposes of Use

We collect and use your data only for the following necessary business and technical purposes:

  • Providing and maintaining the Service: creating and managing your account; allowing Manufacturers to manage product catalogues and prices; allowing Merchants to browse and place purchase orders; and generating Invoice and transaction records.
  • Communications and support: sending Manufacturers subscription status updates, renewal notices, system maintenance announcements, and customer-support replies.
  • Platform optimisation and security: monitoring system performance, fixing vulnerabilities, and preventing fraud, cyberattacks, and abuse of system storage resources.
  • Legal compliance: complying with applicable Malaysian laws, regulations, and regulatory requirements (such as the PDPA).

Note: We will never sell, rent, or transfer your data to any third party for marketing or advertising purposes.

3. Information Sharing and Disclosure

Except in the following circumstances, we will not disclose your personal or business data to any third party:

3.1 Necessary Sharing Between Manufacturers and Merchants:

  • When a Merchant places an order, its basic information (such as store name, delivery address, and contact phone number) will be shown to the corresponding supplying Manufacturer so that the Manufacturer can fulfil and ship the order.
  • Product catalogues and pricing information displayed by a Manufacturer will be shown to Merchants authorised/bound to that Manufacturer.

3.2 Third-Party Service Providers (System Operation Only):

  • We may host or store data on secure cloud servers (such as Amazon Web Services / Google Cloud) or use third-party technical tools. These service providers process data only on our behalf and are not authorised to use the data for other purposes.

3.3 Legal and Regulatory Requirements:

  • We may disclose relevant data to the extent necessary when required under Malaysian law, court orders, law-enforcement authorities, or government regulators pursuant to lawful process.

4. Data Security and Storage

4.1 Security Measures: The Platform adopts industry-standard technical and physical security measures (including SSL/TLS encrypted data transmission, secure firewalls, and strict database access controls) to guard against unauthorised access, disclosure, alteration, or destruction of data.

4.2 Storage Allocation Policy:

  • Physical files and media resources actively uploaded by users (such as high-resolution product images and PDF contracts) will consume the file storage space allocated under the plan (Active / Archive space).
  • Order records, Invoice billing data, and transaction-history text records automatically generated by the System are stored in the backend database and do not count toward your physical file storage quota.

5. Data Retention and Account Closure

5.1 Retention Period: While your account remains Active, we will continue to retain your data. When an account is moved to Archive or deactivated, the data will be retained in archive space.

5.2 Overdue Status and Data Cleanup: If a Manufacturer’s plan expires and remains overdue for more than 30 days without renewal, the Platform may archive or permanently clean up that account and related historical data associated with it.

5.3 Data Export: Before account termination or cleanup, users are advised to export and back up important order and financial records themselves.

6. Your Rights (Under Malaysia’s PDPA)

Under Malaysia’s Personal Data Protection Act 2010 (PDPA), you have the following rights:

  • Right of access: you may request to view the personal data we hold about you.
  • Right of correction: if your personal data is inaccurate, incomplete, or outdated, you may amend it in the system backend at any time or request that we correct it.
  • Withdrawal of consent: you may contact us at any time to withdraw consent to data processing (this may result in your being unable to continue using the System).

7. Use of Cookies

The Platform uses necessary Cookies and similar tracking technologies to maintain user login sessions, remember user preferences, and analyse website traffic. You may disable Cookies in your browser settings, but doing so may affect some System functions.

8. Updates to this Privacy Policy

We reserve the right to update or amend this Privacy Policy at any time. Any revision will be published on the official website and take effect immediately. We recommend that you review this page regularly for the latest privacy practices. Continued use of the Service constitutes acceptance of the amended Privacy Policy.
